PaathShala Standard Operating Procedure

PaathShala Amstelveen thanks you all for your continued support till date. With the commencement of the new year, we are planning to implement some new rules and regulations for structuring our curriculum better, which would finally add up to better development of your child.

Evaluations throughout the curriculum

To identify every child’s strengths which we can sharpen, and weaknesses on which we can work with together, we conduct regular evaluations.
a. Quarterly evaluation, cumulatively covering topics learnt every quarter
b. Half-Term evaluation, evaluating the progress till half of the year
c. Annual evaluation, covering the topics taught throughout the year

The Half-Term evaluation and Annual evaluation are mandatory for all the students, and the dates are non-negotiable. The parents will be informed about the dates of the examinations at least one month in advance.

Punctuality And Continuity

We would request you to be on time with bringing your child to the class, as well as collecting him / her from the class. Your late arrival or departure impacts the synergy of the batch of your child as well as the following batch.

To ascertain a better discipline with arrival and departure time, we are implementing the following rules with immediate effect.

  1. There is stipulated start and end time for the lessons of each child, as communicated at the beginning of the session. If your child arrives late due to some reason, the stipulated end time will remain unchanged, and there will be no compensation provided for the delay.
  2. If your child stays back after the stipulated end time of his / her class, there will be extra charges applied on top of the regular monthly fees.
  3. In case there is an ongoing topic being discussed during the class, there is a possibility that the students might have to stay back longer than the stipulated end time of the class. There will be no additional charges applied for this case.

We do respect the fact that there can be occasional delays due to some unavoidable circumstances*. In those cases, please inform us in advance.

Holidays and Extra Classes

PaathShala is closed on all Dutch National Holidays. No extra classes will be scheduled for those days.
If PaathShala is closed on other occasions apart from the given holidays, we will notify you in advance. In that case, we will offer extra compensatory classes for the students who will miss their lessons. The guidelines for extra classes is mentioned below.

If the student is absent, the scheduling of the extra classes are entitled to the following scenarios.
i. The student cannot attend due to an event which can be planned in advance (like, vacation, weekend trips, birthday parties, etc). In that case, if the absence is for one class only, we request you to inform us at least 15 days in advance
In case the duration of absence is for more than one consecutive class, please inform us at least one month in advance.

ii. The student cannot attend due to some unplanned circumstance (like, sickness), please inform us at least 12 hours in advance
We will accommodate extra classes in those scenarios, based on the guidelines mentioned below. In case we receive the notification later than the mentioned time, it would be difficult for us to arrange for the classes.

There might be some exceptional circumstances (like, the child falls ill just sometime before the class is scheduled), please inform us in that case. We will consider the situation and try to resolve it in the best possible way.

Guidelines For Extra Classes

I. The proposed dates for extra classes will be communicated to you over whatsapp. We would request you to respond to the message(s). 
a. If we do not receive any response within 5 days, we will assume that the parents are not interested for the extra classes. In that case, we will assign the slot to some other student. 
There will be no follow-up message, and no calendar invite will be sent. Of course, we will upload the corresponding material in that case and inform you accordingly.

b. If there is any concern with the proposed date, we will definitely try to accommodate the preferred slots. But, it is subjected to availability. The discussion about confirming the dates will happen over whatsapp.
Once the dates are agreed upon, you will receive the calendar invite. We would request you to respond by accepting it.

II. Once the dates are confirmed, the extra classes cannot be rescheduled. This is because, we schedule the classes with minimum number of students and try to assemble them in similar groups. As the time window for scheduling the extra classes is small, once the batches are scheduled, it is not possible to shuffle them or accommodate additional students in a batch. Otherwise, it impacts the quality of the lessons.

III. If the student misses a regular class as well as the extra class, we will provide the corresponding materials. This is to ensure that the student does not miss the lesson’s content and hence can grasp the content of the following classes.
As you know, the curriculum we provide is time-bound and we maintain the best quality, hence we need to ensure that the students do not lag behind in the curriculum.

IV. There is no compensation / adjustment on student’s fees in case the student is unable to attend the regular and / or extra class.

Discontinuation

Discontinuation for a long period (one month or more) is not appreciated, as we follow a proper curriculum. In case any child discontinues, the progress of the child is hampered and it is really difficult to bring him / her as per the level of the batch he / she is placed in.
If there is a need to discontinue the curriculum, we would request you to inform us at least one month in advance as we need to plan the progress of the students in advance. In case of late notice, the monthly fee for the specific month still needs to be paid.
In case a student is planning to discontinue for a longer period and would like to re-join, it would only be possible in the next academic year.

Annual Evaluation & Summer Break

The students, who have completed one year with PaathShala by the month of July every year, are entitled for summer vacation at the end of the annual evaluation.
If a student, who has joined late, is evaluated to be at par with the desired level during internal assessments, he / she will be appearing in the annual evaluation examination in July. In that case, the student will be entitled for summer vacation after the annual examination. We will inform the corresponding students accordingly.
The other students, who have joined late, will be appearing for the annual examination at a later period. Those students will not be entitled for any summer vacation from PaathShala.
The students will be promoted to the next level based on the annual evaluation.
